Position Overview:
The Administrative Staff member plays a vital role in supporting smooth operations through scheduling management, billing support, and client communications. This position requires strong organizational skills and strict adherence to confidentiality and HIPAA compliance.

Key Responsibilities:

  • Scheduling Coordination: Manage appointments efficiently for clients and staff, ensuring optimal use of resources.

  • Billing Support: Assist with billing tasks including invoice preparation, payment tracking, and resolving client billing inquiries.

  • Client Communications: Serve as a professional first point of contact for client inquiries via phone, email, or in-person. Provide timely and courteous responses.

  • Confidential Record Keeping: Maintain accurate, confidential records related to scheduling, billing, and client information in full compliance with HIPAA and company policies.

  • Team Collaboration: Work closely with staff and management to support daily operations and client service delivery.

Access Level & Confidentiality:

  • Authorized access to sensitive scheduling, billing, and private client contact information.

  • Required to maintain strict confidentiality and adhere to all privacy and data security standards.

Qualifications:

  • Experience in administrative support or office management preferred.

  • Excellent organizational and multitasking abilities.

  • Strong verbal and written communication skills.

  • High attention to detail and a commitment to confidentiality.

  • Familiarity with billing processes and scheduling software preferred.

  • Professional and discreet in handling sensitive information.

Salary:

  • Starting at $22.00 per hour, scaling up to $30.00 per hour based on experience and competencies.

Benefits:
